How to Create a Professional Email Signature

A good email signature is short and clear: your name, role, company, phone and website, maybe a small logo. Create it in Gmail under Settings > Signature, or in Outlook under Settings > Signatures, and set it as the default for new emails and replies.

Logo appears as an attachment

Insert images from a URL (Gmail) or keep them small. Some recipients’ email apps block images by default.

Signature doesn’t appear on replies

Set the default for replies/forwards as well.

Frequently asked questions

Should I add a photo?

Optional. For client-facing roles, a small professional headshot can help.

Can I have multiple signatures?

Yes. Gmail and Outlook let you create several and choose one while writing.
